Terms and Conditions
The EAD platform is a web site, owned by the Polytechnic of Leiria (IPLeiria), providing resources and tools to support lecture activities (online or in the classroom) to IPLeiria and its departments. This document describes, generically, the terms of use of the EAD platform, as an integral part of IPLeiria's IT systems.
Intelectual property
The application
This system is based in the Moodle platform and many other tools. Intelectual property of these resources belongs to its owners and, as such, they can have specific terms and conditions.
Platform customizations, such as the theme (structure, appearance, images, etc.) and plug-ins made either by collaborators, students or IPLeiria vendors, are the property of the Polytechnic of Leiria and cannot be copied, changed or distributed without the consent of this institution.
Content
Contents, and by contents we mean every piece of information made available to the user (text, images, videos and various other resources), are the responsibility of their authors. Polytechnic of Leiria shall not be liable for any legal, ethical, financial or other issues related to these contents, without prejudice of the safeguards provided by the portuguese and european laws that rule this system. However, all authored contents, either by teachers, IPLeiria departments or other third-parties with a comercial relation with the Polytechnic of Leiria, are owned by this institution. Actions like copying, distributing or changing any of these contents should not be performed without IPLeiria's consent.
User responsabilities
Access to resources and activities will only be available once a user is authenticated. This process identifies the user and assigns him a specific profile and its privileges, guaranteeing that said user only has access to that role specific information, as defined in the security policy and privacy policy.
As an IPLeiria account holder, the user agrees that:
- An user account is personal and non-transferable and cannot be used by third-parties to access or interact with the system.
- As an user you should protect your credentials, by not giving out your password. Your passoword is personal and should not be available to anyone but yourself (Polytechnic of Leiria colaborators will never ask you for your password).
- In case you become aware that your credentials where used for unauthorized access and actions, you should report the issue to the Distance Learning Unit or to the Polytechnic of Leiria IT services;
- You shall not take any actions that can compromise Polytechnic of Leiria's infrastructure or any other user, through unauthorized access to another user's account or by exploring system security flaws or bugs;
- You should not use this system to send or spread inappropriate contents containing, amongst other, hateful, abusive, threatning, ethically questionable, racial, obscene, that, in some way, can be harmful or put someone's privacy or dignity at risk or that directly or indirectly can affect negatively Polytechnic of Leiria and its organizational units, institutional image, marketing or communications.
- According to the portuguese and european laws, you should not make available, share or use any content, material or information that violates third-parties rights, mainly copyright, confidentiality, image and the right to privacy.
- This system should be used in a responsible, sensible and careful way, by not intentionally disturbing or degrading the quality and integrity of the platform's resources and functionalities.
- Polytechnic of Leiria, its organizational units and collaborators will not be held responsible over any damages caused by an user account being used in a negligent or malicious way, up to the maximum extent permitted by law
Warranties
Polytechnic of Leiria, its organizational units and collaborators do not provide any guarantees, implicit or explicit, associated with the way the system works, up to the maximum extent permitted by the applicable law. This platform is made available as is and you should use it at your own expense. This means that the only one responsible for any misconduct that can cause damages to the system and its underlying subsystems and infrastructure, causing data corruption or, ultimately, data loss, is the user itself.
Polytechnic of Leiria and its collaborators are commited to ensure service quality and availability; however, Polytechnic of Leiria reserves the right to suspend system access, for a period deemed necessary, for any technical, executive or any other major reasons that may arise. Polytechnic of Leiria, its organizational units and collaborators will not accept responsibility for any interruptions of the service.

Privacy Policy
When you use this site, we collect and store information on your access device(s) and in the Polytechnic of Leiria (IPLeiria)'s servers. This document broadly describes the kind of information we collect and store in our systems, mainly the information stored in the EAD platform and some of its support systems.
Site Visitors
Like most websites, this site collects anonymous information using your web browser and the web servers you are connected to, such as browser type, language preferences, referral site, visited pages, visit duration, date and time of each request, etc. We collect this data to have a better understanding on how our users use the system, to improve the quality and usefulness of the services we provide to the IPLeiria's learning community.
We may also collect identifiable information like IP addresses. The system does not use this kind of data to identify visitors and does not share this information with third parties, except when required by law (e.g. information shared with the legal authorities to comply with the Portuguese and European legislation), by the IPLeiria's presidency or by the Distance Learning Unit managing director.
Site users
Site visitors can login using their IPLeiria's credentials. These personal credentials, username and password, identify unequivocally the user and bind him to the system. The same credentials can be used to access other information systems connected to the Polytechnic of Leiria. If you are a student, a employee or any other person with authorized access to this system and you do not know or have forgotten about your credentials, please feel free to contact IPLeiria's IT services to clarify the situation.
In regard to teaching activities, this system manages and stores personal information about its users, mainly first and last names, e-mail address, city/state, country, language, description, website URL, internal ID code, username, password, institution, department, phone number, cellphone number, address, first and last phonetic name, alternative name, photo, amongst other collectible information. Some of these details are obtained through other IPLeiria's IT systems when applying or modifying your registration details in our Academic Offices, Human Resources Office or any other departament or unit. Apart from these personal details, the system also collects and stores other information, such as access and activity logs, data submitted by users when involved in curricular activities, etc.
Data access
Collected information is, exclusively, used internally by our learning management system and, in some explicit cases, authorized by IPLeiria's board of directors or by the Distance Learning Unit's managing director. This information may be shared with other internal systems to provide additional services or as a way to audit the quality of existing services.
Some data can also be viewed and edited by users (with the exception of some fields associated with your personal profile, whose revision can be made through IPLeiria's IT services), just as well as some other users with very specific roles in the system.
Access to personal user information between users is restricted to shared learning activities. For instance, users enrolled in a curricular unit will have access to information about the users that share the same virtual space, mainly profile picture, name, etc.
In addition, data regarding sent messages, forum posts, amongst others user interactions, may be collected by the platform. These informations are collected only when it is necessary or appropriate as a way of fulfilling previously defined objectives.
These details are not shared with third-parties, without prejudice of the legal and institutional requisites.
Personal information protection
The Polytechnic Institute of Leiria will not provide personal information to third-party entities, with the exception of competent authorities, within the limits of the current legislation.
The Polytechnic of Leiria will try to ensure, as far as possible, the application of all the measures necessary to protect personal information stored on this system against unauthorized access and usage, including information update or deletion. However, this means that, by using this system the user agrees with the terms of the service and with the notion that the Polytechnic Institute of Leiria and its colaborators will not be accountable for any damages caused while using this platform and its functionalities. By using the system, users should by aware that they are automatically agreeing with all the terms of the service.

Cookies: what they are and what purpose they serve?

Security Policy
This document describes, generically, the security practices and definitions applied to this platform (ead.ipleiria.pt) as an integral part of the Polytechnic of Leiria's IT systems.
General information
This system uses current known security best practices, mainly concerning information integrity, confidentiality, availability and authenticity, protecting our IT system from unauthorized information access, deletion, disruption or modification. This IT system is support by two distinct teams:
- Polytechnic of Leiria's IT services: management and security of the technological infrastructure (equipments, networks, visualization, email and support services);
- Distance Learning Unit: has the responsibility to insure the platform's operational security, mainly at the software level. This includes Moodle software and its support services (web service, database, operating system, etc.).
Information access
Access is only provided when considered necessary to the execution of associated user profile tasks. Exceptional situations will always require a special authorization order provided by Polytechnic of Leiria's board of directors or the Distance Learning Unit managing director.
Password confidentiality
All user accounts present in this system should be protected by a password (or any another similar method of authentication) that allows the attribution of responsibilities by any actions taken in this platform. Local accounts passwords stored in the system are encrypted. Passwords from IPLeiria.pt domain accounts are not stored in this system. Password and data exchange between the clients and the service should always be made using encrypted channels.
Users have the responsibility of guaranteeing the confidentiality of their account's password, insuring that password cannot be used by a third-parties to execute actions in their name. Users are the only responsible for the actions made with their accounts. If an user account gets compromised, said user should immediately request a password reset at Polytechnic of Leiria's IT services.
Backup policy
The system automatically creates backup copies of all curricular units which have not been hidden and have been updated since the last automatic backup, in a weekly cycle. These programmed securities copies will occur in low traffic periods, given the volume of data which has to be processed and the impact it may have in the system's performance. Due to questions related with curricular unit size and the available technological resources, only one backup of each curricular unit is saved. Users are responsible for the maintenance and management of their own backups. Previously backup copies are destroyed due to the maintenance costs. Security copies of all curricular units are maintained for a period of up to two academic years.
If technically viable, content support systems for previous academic years will be made available along side the current year system. These systems will only be available for querying information and no backups are made on this systems, thus they should not be used for learning activities.

By using this system users agree that, besides what is imposed by the current legislation, the Polytechnic of Leiria and its colaborators will not offer any sort of additional security insurance, implicit or explicit. Users are liable to protect the confidentiality, integrity, availability, authenticity and the non-repudiation of the information they exchange with the system, as well as maintaining backup copies of said information.
